Aviation Dental is a dental clinic at 465 Aviation Rd NE, Unit 113, Calgary, Alberta. Your privacy matters to us. This page explains what information we collect at the clinic, on this website and through our ads, why we collect it, who we share it with, and the choices you have.
The laws we follow
Health information about you, such as your dental records, is protected by Alberta's Health Information Act. Other personal information, such as your name and email when you contact us, is protected by Alberta's Personal Information Protection Act. We also follow the privacy rules of the College of Dental Surgeons of Alberta.
At the clinic
When you become a patient, we collect what we need to care for you and get your treatment paid for:
- Your name, date of birth, address, phone number and email
- Your health history, dental records, X-rays and treatment notes
- Your insurance or coverage details, such as the Canadian Dental Care Plan, a work plan or a government program
- Payment and billing records
We use this information to provide your care, book and remind you of appointments, send claims to your plan, bill you, and meet our legal and professional duties. We collect only what we need, and we keep dental records for as long as the law and the College require.
On this website
Booking an appointment
Our Book online buttons open a booking page run by MaxAssist, the service our clinic uses for online bookings and appointment reminders. What you enter there (such as your name, phone, email and the visit you want) goes to our clinic so we can book you and send confirmations and reminders by email or text.
Before the booking page opens, we may ask "How did you hear about us?" Answering is optional and you can skip it. If you choose to type the name of the person who sent you, we use it only to thank them. Please don't include health details.
The smile check
If you take our smile check, you give us your name, your email and your answers to the questions. Your answers can describe your teeth, so we treat them as health information. They go to our clinic only, so we can follow up if you want to book. They are never used for advertising.
Counting visits
Like most websites, we count visits so we know which pages help people. We use:
- Google Analytics, which uses cookies to tell us how many people visit, which pages they read and roughly where they come from. Google does not tell us who you are.
- Our own visit counter, which records the page, the website you came from (site name only), any ad tags in the link, and which buttons are tapped (such as Book online or Call). It sets no cookies and does not store your IP address.
Emails and phone calls
If you email or call us, we use your details to answer you and, if you are a patient, we may add the conversation to your file.
Ads on Facebook and Instagram
We advertise on Facebook and Instagram, which are run by Meta. When we do:
- We may use Meta's measurement tools, such as the Meta Pixel, on this website. They use cookies to show us whether our ads bring people to the site or to book, and to show our ads to people likely to need a dentist. Meta handles this information under its own privacy policy.
- If you fill in a form inside one of our ads, Meta sends us what you enter (such as your name, phone and email). We use it only to contact you about the care you asked about.
- We never send your health information, dental records or smile check answers to Meta or any other advertiser.
You can control the ads you see in your Facebook or Instagram settings under Ad preferences.
Who we share with
We do not sell your information. We share it only when we need to:
- Your dental plan or coverage program, to send claims and get approvals for your treatment
- Other health providers, such as a specialist or dental lab, when it is part of your care
- Service providers who work for us, such as our booking and reminder service (MaxAssist), our website host (Netlify), our analytics tools (Google) and our website database (Supabase). They may use your information only to provide their service to us.
- When the law requires it, for example a court order or a report the law makes us give
Some of these service providers store information outside Canada, including in the United States, where it may be subject to the laws of that country.
How we protect it
We keep patient records in secure systems that only our team can open, and our team is trained to keep them private. Website forms send information over a secure, encrypted connection. If a privacy breach ever puts you at real risk of harm, we will tell you and Alberta's privacy commissioner, as the law requires.
Your rights and choices
- See your information. You can ask for a copy of the information we hold about you.
- Fix it. If something is wrong, you can ask us to correct it.
- Change your mind. You can withdraw consent for things like reminder texts or emails, unless we need the information to provide your care or the law requires us to keep it.
- Turn off cookies. You can block or delete cookies in your browser, or use Google's Analytics opt-out tool. The site still works without them.
